THE POSITION

The Intern, People & Culture will work directly with, and report to the Senior Manager, People & Culture with frequent interactions with the People & Culture team and other Foundation staff.  This position will assist in supporting all human resource efforts. This position is a six-month paid internship. 

Specific Responsibilities

  • Provide administrative support to the People & Culture department (Total Rewards, Talent Acquisition, Organizational Development, Policy).
  • Assist in the preparation of HR related documents including offer letters, employment letters, visa letters and other correspondence.
  • Assist with the onboarding process by preparing materials for new hire on-boarding including welcome packages, desk set-up etc. Coordinate with IT and Facilities.
  • Assist with filing of documents into the employee files.
  • Post jobs to website and internal portal. Maintain department email inbox.
  • Assist with interview scheduling as well as setting up any IT equipment, as necessary (eg. Skype, Zoom, webcam etc.).
  • Submit and track background and reference checks through our third party service provider.
  • Coordinate completion of mandatory new hire and annual training.
  • Support People & Culture team with Presentation preparation, seminars, trainings, meeting coordination.
  • Update organizational charts, as necessary.
  • Support the creation and implementation of a formal internship program.
  • Other duties, as required.

Qualifications

  • Completion of or working towards a university degree in a related field with post graduate plans for Human Resources studies.
  • Minimum of 1-2 years of part-time or summer work experience in related field, busy office environment is an asset.
  • Working towards CHRP designation would be an asset.
  • Experience or familiarity with HRIS, i.e. Dayforce, Workday, One Note, Office 365.
  • Excellent interpersonal skills with a sense of humour.
  • Responsive and calm under pressure.
  • Proactive, engaged and a self-starter.
  • Ability to work both independently and as part of a team.
  • Strong communication and writing skills in English (written and spoken).
  • Flexible, adaptable and able to effectively execute a range of job duties.
  • Excellent organizational skills and demonstrated ability to handle multiple tasks simultaneously.
  • Strong attention to detail.
  • Proficiency with Microsoft Office including PowerPoint, Word and Excel.
