McMaster University’s Faculty of Health Sciences (FHS) is unique as the only Canadian university that combines, in one Faculty, schools of medicine (including two regional campuses), nursing, rehabilitation science, and the programs of midwifery, bachelor of health sciences, physician assistant and postgraduate health sciences education. With over 2000 staff members, 850 full-time and 2600 part-time faculty members, the Faculty thrives on its inter professional and collaborative approach to healthcare and learning.

The Faculty of Health Sciences Human Resources Office, in collaboration with Human Resources Services, provides leadership, advice, support and resources to faculty and staff to foster the creation of an environment that is inclusive, diverse and engaging.

Job Summary:

Reporting to the Associate Director, FHS Human Resources, the HR Data & Process Specialist serves as a business partner and liaison for Faculty of Health Sciences academic and administrative departments, FHS Human Resources, central University human resources and the UTS Sustainment Team. The HR Data & Process Specialist is responsible for over 12,000 employee records within PeopleSoft across several faculty and employee groups, many of which require complex compensation and human resource processing. The incumbent must be intimately familiar with the many nuances of the Faculty’s various employee groups, including but not limited to: MUFA, Clinical Faculty, outside paid faculty, part-time/adjunct faculty, TMG, Unifor, Postdoctoral Fellows, Clinical Fellows, Clinical Scholars, MUALA, Research Associates, Senior Academic and Administrative Officers, and Interim employees.

The HR Data & Process Specialist is actively engaged in strategic and operational planning of process improvements, while developing tools, templates and training in partnership with key University units, to support Faculty priorities and indicated needs. Utilizing broad human resources knowledge and expertise in data analysis and reporting, resolves complex PeopleSoft (Mosaic) HR related issues, and develops and analyzes reports to assist with business and strategic planning. The role is expected to work autonomously on special projects that are diverse and complex in scope, connecting with relevant stakeholders as necessary

 

Key Responsibilities:

Data Analysis & Reporting

  • Develops reports and queries for both internal and external bodies to the University as required to meet the strategic needs of the Faculty, including but not limited to: Office of the Dean and Vice-President, internal/external audits, affiliated hospitals, AFMC, granting agencies, licensing and immigration bodies, etc.
  • Responsible for the development and analysis of both regular and ad hoc queries of data in Mosaic HR in support of both the operational and strategic needs of the FHS HR Office
  • Responds to requests for HR data and reports in a timely manner; collects, monitors and analyzes statistics; prepares and presents reports; conducts testing to ensure integrity of reports
  • Analyzes and leverages data into coherent reports and impactful presentations to support leadership decision- making based on data
  • Ensures information in Mosaic HR is accurate and meets the needs of the organization; maintains data integrity and security for all FHS faculty and staff
  • Anticipates data discrepancies and intercepts as appropriate to avoid negative impact to employee and faculty pay and records; implements error checking methods ensuring integrity of data
  • Analyzes key human resources business data and works alongside Department and HR leaders to provide recommendations for strategic solutions
  • Designs, delivers and/or participates in internal and university benchmarking (e.g., turnover rates, attendance, performance indicators, responds to faculty requests for information, etc.)

Process Analysis & Continuous Improvement

  • Identifies opportunities to enhance Mosaic HR processes within the Faculty of Health Sciences; examines workflow to improve the effectiveness of various HR procedures; analyzes and evaluates ongoing needs to identify areas where adjustments/improvements are needed
  • Evaluates impact of HR processes, policies and procedures; researches and recommends changes as appropriate; examines the impact of data on human resources planning
  • Partners with central University HR and other key Faculty and University stakeholders (e.g., Finance, UTS) to transform administrative operations to provide excellent customer service through the creation and dissemination of efficient and effective business processes, systems and workflow

Communication, Partnerships & Relationships

  • Works closely with central University Human Resources Services, CSU and the Sustainment Office to evaluate system needs, process improvements, and ongoing support to maximize the value of Mosaic HR, ensuring FHS HR priorities are considered and reviewed
  • Develops partnerships and collaborates closely with other administrative units across the Faculty and University (e.g., FHS Finance, HR Service Centre, Sustainment Team) to deliver value-added/integrated services that support the strategic and business objectives of the Faculty; identifies synergistic opportunities
  • Participates in various Faculty and University committees to address Mosaic HR system problems, and facilitates information exchange regarding policies, procedures and process improvement
  • Communicates process changes, enhancements and modifications through various communication tools (written, verbal, online, etc.)

Customer Service & System Support

  • Manages resolution of complex and/or confidential inquiries/requests that have escalated beyond first-level support within Mosaic HR; identifies and partners with appropriate internal resources to resolve client issues
  • Leverages human resources and institutional knowledge to continuously improve service and support
  • Provides strategic and operational direction in the development and implementation of major HR systems programs and projects

Special Projects

  • Serves as strategic project lead for a number of projects and programs as required by the Associate Director and Executive Director, FHS Human Resources and other Faculty senior management to support optimal HR operations within the Faculty of Health Sciences

 

Qualifications:

Education:

  • University degree with a focus in business administration/human resources
  • Relevant education associated with the design, analysis and management of reports andqueries necessary, including SQL, Oracle and PeopleSoft applications
  • Continuing education in project management necessary, completion of or working toward Project Management Professional certification preferred
  • Certified Human Resources Professional (CHRP)/Certified Human Resources Leader (CHRL) designation a definite asset

Experience:

  • Five (5) plus years progressive experience in human resources, specifically HRIS administration, HR data reporting and analytics, and providing end user support; PeopleSoft experience required.
  • Experience working in a complex, multi-union environment or in the higher education sector an asset
  • Advanced Excel (e.g., pivot tables) and database management skills required
  • Knowledge and understanding of the various systems used within the Faculty and University, including PeopleSoft and ATP required.
