Founded in 1989, DeafBlind Ontario Services is a not-for-profit organization that helps individuals who are deafblind increase their independence and improve their quality of life through specialized services. With residential locations and community services programs across the province, their services extend into a wide range of communities in Ontario.
The Human Resources Generalist is responsible for employee relations concerns, implementing HR programs, policies and procedures and providing support and guidance to
managers/supervisors in the areas of performance management, employment documentations, scheduling and payroll.
Please note this position is based out of London and will support regions in Kitchener, Waterloo Ayr and London.
• Be present and visible to employees in designated region to answer all employees HR related questions in a timely and efficient manner.
• Provides day-to-day HR guidance, supports and implements HR policies, procedures and programs and acts as a first point of contact in employee relation matters.
• Provides coaching, training and facilitation to managers and employees, both individually and in groups. Provides guidance on matters pertaining to effective leadership, employee engagement and retention, employee relations, attendance management, disability management, performance management and employee discipline, occupational health, safety and wellness, termination, harassment concerns and effective conflict resolution.
• Accountable for designated region’s recruitment and selection process. Coordinates job postings, regional job fairs, collection and screening of resumes, arrangement of venues for interviews, participation in interviews, follows through during the orientation process including coordination and facilitation of new employee orientation process.
• Provides Human Resources knowledge to management and employees on employment law and practices, compensation, employee relations, health and safety, which operate within the policies and values of the organization.
• Responsible for biweekly payroll coordination, in accordance with organizational policies and the Employment Standards Act. Processes terminations and Records of Employments (ROEs).
• Responsible for regional scheduling including approving master schedule changes, scheduling mandatory training and coordinating training venues.
• Maintains employee medical files, including regular communication and follow up with employees on a leave of absence.
• Maintains WSIB claims including communicating with adjudicators; submits WSIB reports. Tracks incident reports and provides analysis and recommendations to the Joint Health and Safety Committee.
• Supports the development and implementation of HR policies and procedures.
• Ensures employee HR records meet legislative and organization standards.
• Ensures compliance with all relevant Human Resources and Payroll legislation.
• Remains current and implements changes in provincial and federal legislation.
• Responsible for the maintenance of organizational Human Resources Information System (HRIS); including accurate tracking of positional changes, compensation, vacation and sick day entitlements, as well as training and development. Communicates and troubleshoots with HRIS provider as needed.
• Conducts employee investigations where appropriate, focusing on fairness and timely resolution of complaints.
• Prepares quarterly HR dashboards and ad hoc reports. Provides relevant HR metrics to management on a proactive basis to assist them in managing their workforces.
• Participates in the termination process, whether for cause or otherwise. Conducts Exit interviews for voluntary resignations.
• Promotes the values of the Organization within the workplace and in the community by demonstrating positive and professional relationships with other agency staff, families, volunteers, advocates, and employers.
• Reports all unsafe conditions, hazards or practices, accidents and incidents in accordance with Occupational Health and Safety Act and adheres to all Health and Safety requirements within DeafBlind Ontario Services policies and procedures and provincial legislation.
• Performs other related duties as assigned by the Director of Human Resources.
• Completion of university degree/diploma in Human Resources or related field.
• CHRL designation or in progress.
• PCP (Payroll Compliance Practitioner) designation is required or actively working towards certification.
• 3-5 years of experience as a Human Resources Generalist
• Experience within the not-for-profit sector preferred.
• French is considered an asset.
• Demonstrated high level of confidentiality.
• Excellent knowledge of all applicable legislation, government policies, procedures, and practices.
• Demonstrated ability to provide beneficial recommendations to solve HR related issues related to regulations, laws and policies.
• Sound knowledge and broad understanding of the Employment Standards Act (Ontario) and the principles and practices of standard payroll functions.
• Ability to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
• Good knowledge of, and demonstrated ability to work with, current electronic technology and various software packages including Microsoft Word, Excel and Outlook applications, spreadsheets and data base management.
• Excellent written and verbal communication, organizational and analytic skills with the ability to work within tight time lines.
• Ability to work closely, practically and communicate effectively with managers in a non-profit community organization setting.
• Proven ability to work within a team and with a minimum of supervision.
• A valid driver’s license, access to reliable vehicle, and the ability to travel.
