Nature & Scope:

Working within an HR Department focusing on providing excellence in HR practices, the HR Specialist performs generalist human resources services to employees and supervisors in several areas including: leaves of absences, absence management, compensation, recruitment, and interpreting human resources policies and practices to supervisors and staff. This key role will be the first point of contact to YMCA staff regarding human resources related questions and will partner with supervisors to provide the best support to our staff.
Accountable for providing Human Resources guidance and generalist services to a designated employee group that is composed of staff and supervisors. These areas include:
Leaves of Absence:
Provides guidance regarding the appropriate leaves available; lets employees and supervisors know of other resources available; creates documents for the staff and supervisor for their leave; ensures the leave is processed and record of employment is issued; provides information about benefits that are available, such as top up, and that payments are made for benefits while on leaves; follow up return to work dates and managing the return to work accordingly
Provides salary recommendations to supervisors for new hires and transfers to new positions; participates in the performance management process and assists with merit increases; accountable for follow up with staff that have not received a performance review or merit increase; shares with supervisors the importance of participating in the performance management process and following existing processes and procedures
Assists with recruitment competitions by posting positons on the YMCA website and other recruitment sites; provides advice for other posting options, and follows up to ensure recruitment process is going as planned; offer guidance regarding interview questions and other resources available; assists in competitions when needed, such as providing timelines for process, reviewing resumes, reference checks, career assessments, etc.
Ensure up to date knowledge of the YMCA benefit plans and eligibility rules; Offer assistance with any benefit issues that need escalation;
Works with the Senior HR Advisor – Health & Safety to review accident/incident reports for injuries that have occurred in designated employee group; coordinate documents for the workplace injury benefits process; ensure regular follow up is completed during the staff’s leave of absence;
Knowledge of the different paid absences and the definitions for these plans (i.e. personal emergency days, vacation policies, etc.); provide guidance to supervisors regarding the interpretation of absence plans; ensure we are in compliance with all ESA standards regarding absences
Flag to Employee Relations Leader and General Manager of Human Resources any employee relations related issues that are brought to your attention by supervisors or staff; assist with notice letters (i.e. reduction of hours, contract completion) as requested; flag any trends or patterns and recommend solutions
Assists with updating and maintaining internal procedures documentation; flags when changes may need to be made; identifies opportunities for process improvements and enhanced efficiency of human resources procedures; ensure that knowledge is updated regularly by being aware of new legislation and changes to the HR landscape
Accountable for the data integrity of information in the HRIS related to employee group; staff are in the appropriate employment status; follow up is completed with supervisors regarding status changes; staff are reporting to correct supervisors in HRIS; participates in data integrity clean ups
Assists with on-going human resources projects as assigned.
Demonstrates appropriate behaviours in line with our Mission, Vision and Values as reflected in our YMCA competencies; takes a member focused approach to increase their understanding of programs offered across the Association. Represents the YMCA and the Association in a professional manner.
Ensures the health, safety and well-being of all children, youth and vulnerable people in YMCA programs. Commits to the professional responsibility of maintaining knowledge of legislation, policies and procedures, child and youth development and best practices to best serve and protect children, youth, and vulnerable peopleUnderstands the legal responsibilities and moral imperative to report suspected child abuse to Children's Aid Society.
Understands the importance of the volunteer staff partnership and integrates the value of philanthropy and volunteerism in dealings with members, volunteers, donors and staff.
Other duties as assigned
- Completion of a university degree in related field; Human Resource Practitioner designation; knowledge of relevant acts, including Ontario Employment Standards Act, Human Rights Code, Pay Equity Act, Occupational Health and Safety Act; Worker’s Safety and Insurance Act; Pension Benefits Act; regulations, standards and human resource manuals;
- Minimum 1-2 years HR experience
- Ability to work in a fast paced environment and perform duties with speed and accuracy
- Consciousness of the importance of attention to detail and double checking work for accuracy
- Ability to establish credibility; influence and communicate difficult information
- Ability to work effectively in a team environment
- Initiative and good judgment
- Demonstrated ability to apply human resource principles and techniques in the development of guidelines and integrate knowledge into every day practices and interactions;
- A high degree of integrity and professional ethics; ability to maintain confidentiality; discretion;
- Excellent organizational and time management skills;
- Well-developed interpersonal, and relationship building skills; ability to establish rapport and excellent communication with members, staff and volunteers
- Excellent written communication skills
- Commitment to working in a socially inclusive environment responding with sensitivity and personal awareness to the diverse needs of members including visible and non-visible dimensions of diversity
- Advanced skills in Excel, good knowledge of Microsoft Office - knowledge and experience with creating reports, data analysis and manipulating data
- Previous experience with People@Work or EzLabour an asset, in particular the report writer functions
