JOB SUMMARY

This role is responsible for the development, implementation and maintenance of our human resources information systems and for providing expert level reporting, analytics and insights to support HR/Business programs and projects.  The HR Analyst monitors and provides day-to-day support and maintenance for human resources applications while collaborating heavily with Information Technology and other internal/external stakeholders to support users in the use of applications.  The HR Analyst will be relied upon to keep current with and support introduction of system changes or upgrades.

DUTIES AND RESPONSIBILITIES

HR Applications Support (60%)

  • Serve as the administrator for the College’s core HRIS, performance, learning, recruitment and time management systems
  • Work directly with Human Resources staff, Payroll/Finance and users to address system and data requirements
  • Support application integration, new module implementation, and upgrade activities with internal and external vendor applications (benefits, pension, employee engagement etc.)
  • Interface with external vendors to manage relationships and ensure proper delivery of services per service-level agreements
  • Work with Payroll/Finance to build and maintain robust audit processes to ensure accurate data and payroll processing Collaborate with HR and Payroll/Finance staff to ensure applications are maintained and solutions offered to meet all performance, security, and compliance requirements
  • Collaborate with IT and appropriate external vendors to maintain systems and data integrity for all applications
  • Troubleshoot issues and work with vendors to resolve issues

Knowledge Management (20%)

  • Develop and provide training to end users to support application utilization and enhance the employee and manager experience
  • Design relevant HR strategies and implement initiatives in areas of knowledge management, collaboration tools, and social media when appropriate; partner on projects that require integration with HR systems
  • Facilitate cross-functional business unit collaboration to develop technologically-inspired learning strategies
  • Serve as department liaison in support of Process Excellence to periodically review internal processes and to foster continuous improvement and efficiency
  • Serve as steward for all HR specific intranet content

Document Management (15%)

  • Develop and maintain processes for collecting, maintaining and retrieving digital records during the lifecycle of an employee
  • Ensure all electronic and paper employee files are complete and meet College and ESA compliance

Reporting and Analytics (5%)

  • Create and produce reports on a monthly, quarterly, and annual basis as well as producing ad-hoc reports for management and other departments within the company upon request
  • Serve as backup to compile and distribute reports related to monthly and YTD department metrics
  • Assist with creation and production of other department documents in support of business initiatives
  • Provide quantitative and qualitative analyses for all requested department reports


QUALIFICATIONS

Education

  • Bachelor’s Degree required, preferably in HR Management, Information Systems, or Business Administration

Experience

  • Three years demonstrated experience with HR processes, policies, terminology and best practices
  • Two to three plus years demonstrated experience managing an HRMS Possess a systems orientation with demonstrated understanding of application configuration and functionality Project management experience, effectively managing multiple projects on time and on target
  • UltiPro (Ultimate Software) experience strongly preferred Experience creating and analyzing reports and dashboards
  • Technically adept; displays advanced proficiency in Microsoft Office and virtual learning technologies and is well-versed in various social media applications
  • Strong written and verbal communication skills
  • Solid knowledge of application integration
  • Possesses a team orientation and collaborative mindset skilled at building relationships to achieve goals and objectives
  • Customer focused. You see solutions where others see problems. You are always looking for ways to make improvements and continuously simplify the employee experience
  • Demonstrated knowledge/training in process improvement methodologies (Lean, Six Sigma, etc.) is an asset
  • Solid familiarity with HR processes and structure
