Job Summary:

The HRIS Specialist will be responsible for Workday HCM module configuration and ensuring the integrity and accuracy of global worker HR data, stored in the Human Resource Information System (HRIS). This involves day-to-day support and maintenance of the worker lifecycle in HRIS, including but not limited to: absence plans, analysis, audit and compliance, benefits, business processes, compensation, data management, recruitment, reporting, security, training, and process improvement; support the organization in achieving optimized transactions and processes for Workday HCM modules by gathering business requirements, designing, configuring, testing and implementing business solutions. The HRIS Specialist will function as a Workday expert for all HR transactions and processes, including advising the HR team, managers and workers in proper use of the system. Serve as liaison among with HR, Finance and IT teams with regard to operations and the HR systems.  

 

Responsibilities:

  • Use knowledge of corporate/union policies and relevant federal and provincial HR laws and legislation (CRA, Employment Standards Act, etc.) to ensure HCM is compliant. 
  • In strict confidence manage the integrity of HRIS data in support of HR end user day-to-day operations, processing and reporting. 

  • Understand and support business requirements to ensure optimal design and configuration of business processes, plans and reporting. 

  • First line of contact for the worker lifecycle which may include direct contact with the worker or manager and/or coordination with IT, Payroll, Talent Acquisition, and local HRM to troubleshoot HCM processing. 

  • Works closely with business partners to understand business processes, goals, gaps, and opportunities for HRIS system improvements or enhancements. 

  • Responsible for day-to-day support and maintenance of the worker lifecycle in HRIS, including but not limited to: 

- Absence: Responsible for ongoing maintenance and configuration as required of new and existing Leave and Time-Off Plans, including management of absence quotas, holiday schedules, negotiated time-off adjustments, etc. Manage weekly upload of Banked & Transit Time. Assist with responses to worker and/or manager for absence inquiries. 

- Analysis: Calculate, verify, process and confirm additional payments for Canada workers, including: vacation payouts, income upon termination, transit and banked time payout, claw-backs, allowances, etc.   

- Audit and Compliance: Accountable for audit activities to safeguard data integrity, includes coordination with global HRM’s, reporting and analysis involving business processes, organization structure and position management, personal and confidential worker data. Coordinate with internal/external auditors for file and/or report requests as required. Responsible for secure storage of global worker documentation and ongoing filing process management ensuring worker data privacy.  

- Benefits: Support new as well as maintenance and configuration as required of existing benefits plans, and testing as required. 

- Business Processes: Responsible for ongoing maintenance and configuration as required of new and existing Business processes (BP’s).

- Compensation: Responsible for configuration, and testing of the annual updates to the CUPE salary tables following negotiations. Checks integrity of data following upload to ensure accuracy, coordinate and provide reports as required to Payroll. Manage union staff auto-progressions, process union comp changes and grade progression as required.  Review, process as required and close one time payments tasks. Manage monthly SIP loads. Support annual compensation planning as required. 

- Data Management: Help to ensure worker data integrity and accuracy and provide Workday maintenance and configuration support for HCM modules: Absence, Benefits, Compensation, Recruitment, and Reporting, including detailed design and testing documentation. Responsible for ongoing maintenance and configuration as required of new and existing data fields in HRIS.

- Process Improvement:  Conduct root cause analysis, work to reconcile variances or issues, and resolution of system issues, involves thorough investigation and analysis. Provide recommendations to increase utilization, functionality and efficiency to support organization goals. Responsible for awareness of new HRIS feature releases and review roadmap, investigate automatically available and set-up required updates, collaborate with HR Partners to test and implement.   

- Recruitment / Talent Acquisition: Support new as well as maintenance, configuration and testing as required of existing recruitment processes and templates. 

- Reporting: Assists in development of standard and custom reports to support business/customer needs, including IT, Finance, and/or other divisions. Generates reports/queries, including writing, maintaining and supporting a variety of reports or queries utilizing appropriate reporting tools.

- Security: Collaborate with IT on security related tasks, assign HR roles as required.  

- Training: Conduct training as required. Responsible for updates and maintenance of HRIS tools; specifically, related global forms via CSA Connect, and Policy Central, and supporting training aids; quick reference guides for HRM, Managers and workers.   

 

Education & Experience:

  • College diploma plus HR and/or payroll related certification; CHRP certification preferred. 

  • 3-5 years of related HRIS experience, Workday experience required.  

  • Minimum 2 years of experience with report writing, and a strong understanding of Workday HCM configuration. 

 

Skills:

  • Problem solving and analytical skills, accuracy and attention to detail 

  • Strong computer skills (Microsoft Office, in particular Excel) 

  • High level of confidentiality and diplomacy required 

  • Ability to plan, organize and schedule work 

  • Ability to juggle multiple tasks with competing deadlines
