ROLE:

Reporting to the Senior Director, Corporate and Public Affairs, the Human Resources and Operations Manager is responsible for providing operational management to the organization regarding human resources and office administration.

As a member of the management team, the Manager manages the day-to-day office operations and the administration of the human resources (HR) policies, procedures, and programs. This position carries out responsibilities in the following functional areas: employee relations; recruitment, onboarding and offboarding; retention/performance management; general administration and operations; and other responsibilities as required.

The Manager will advise and support the CEO and/or Senior Director, Corporate and Public Affairs on all HR matters.

KEY RESPONSIBILITIES:

Employee Relations

  • Assist with addressing/resolving employee concerns and requests.
  • Support managers on HR matters related to their direct reports.
  • Support/cultivate workplace culture.
  • Oversee adherence to workplace standards and expectations as set out in the Code of Conduct.

Recruitment, Onboarding and Offboarding

  • Work collaboratively with hiring manager on all aspects of recruitment and selection process.
  • Manage the onboarding process and ensure hires are provided with a current and complete new employee package including letter of agreement, Code of Conduct, personnel manual, etc.
  • Oversee employee offboarding process and procedures (resignations and terminations); liaise with other departments as required; prepare termination and severance letters as directed by the CEO
  • Oversee student and volunteer placements; assist staff lead with sourcing students and volunteers

Retention/Performance Management

  • Oversee completion of annual performance review and development process including tracking timelines and deadlines, completion of required steps, etc.
  • Work with management to regularly review and update position descriptions; review job positions, salaries and grids
  • Coordinate staff training sessions; source/engage consultants or firms as necessary.

General Administration and Operations

  • Coordinate the administration of employment compensation and benefits policies and procedures; ensure compliance with organizational policies, procedures, federal and provincial laws.
  • Maintain time and attendance system for employees; understand time reporting rules and requirements; monitor the system for proper functioning; troubleshoot and resolve issues.
  • Collaborate with the staff position(s) responsible for payroll processing to ensure bi-weekly payrolls are delivered timely, are complete and accurate, and in accordance with regulations, policies and procedures.
  • Oversee execution and monitoring of government transfer payment agreements and ensure adherence to reporting requirements.
  • Manage landlord, lease and building management arrangements.
  • Manage relationships with office vendors and suppliers including contracts, maintenance schedules, etc.
  • Participate in development of annual operating budget and monitor expenditures related to HR, administration and operations.
  • Perform other related duties and assignments, as directed.

Strategic Planning

  • Participate in strategic planning process and development and implementation of annual operating plan.
  • Assist in the development of annual HR, operations, and administrative goals, objectives and tactics.

Health and Safety

  • Carry out health and safety practices in accordance with AdvantAge Ontario’s Health and Safety Policies and the Occupational Health and Safety Act of Ontario.
  • Develop safe work practices and routines for staff and the organization.

 

 

Position Type/Expected Hours of Work

This is a part-time position three days a week. Hours of work are 8:30 a.m. to 4:30 p.m. Occasional evening and weekend work may be required as job duties demand.  Note: The position is work from home currently but will transition to an office setting in the future.

Education & Experience

  • University degree or college diploma in Human Resources; CHRP/CHRL designation considered an asset.
  • Three to five years of HR leadership experience in a management role.

Required Knowledge, Skills and Abilities

  • Understanding of HR best practices and current regulations.
  • Sound judgment and problem-solving skills.
  • Customer-focused attitude, with high level of professionalism and discretion.
  • Proficiency in computers – Microsoft Office, Work, Excel and Scheduling software.
  • Demonstrated leadership and management skills.
  • Outstanding organizational skills to manage competing priorities and responsibilities.
  • Ability to exercise tact and diplomacy.
  • Excellent written and verbal communication skills.
  • Excellent interpersonal skills/customer focused.
  • Ability to work independently and with others.
  • Exercise confidentiality in all matters pertaining to the organization.
  • Work well with team members, volunteers, supervisors and other department members.
