Job Details

Provide Human Resources support to all departments.  Ensure Human Resources related legislation is adhered to.  Assist in the maintenance of programs, policies, and procedures in accordance with Objectives of the Division. Maintain confidentiality and accuracy of appropriate documentation throughout employment history for all employees.

Skills and Qualifications

  • 3-5 years’ experience in HR field preferably in a manufacturing environment.
  • Able to recognize the position as one of a highly trusted and confidential nature.
  • Strong problem solving skills.
  • Excellent documentation and organization skills.
  • Proficiency in Windows, Word, Excel, PowerPoint, Outlook and able to learn new softwares
  • Highly motivated and flexible.
  • Must be capable of working under pressure with limited completion times on projects and of working flexible hours in order to internal and external customer requirements.
  • Demonstrated ability to meet deadlines and prioritize heavy workload.
  • Professional, friendly, exceptional interpersonal skills (written, verbal and listening).
  • Ability to work independently and under limited supervision
  • Ability to implement programs on a plant wide level

Duties and Responsibilities

  • Ensure company’s Human Resources systems and policies are consistently applied, and are in compliance with all related employment legislations (i.e., Human Rights Act, Employment Standards, Labour Relations Act, Occupational Health & Safety Act, Workplace Safety and Insurance Act).
  • Maintain open communication channels with employees and managers by answering questions; explaining policies and procedures; encouraging the use of the Open Door Process.
  • Maintain Open Door Policy and follow up on employee concerns.
  • Assist in administering of employee benefits as required.
  • Assist in facilitating conflict resolution by investigating complaints and concerns; evaluating and offering possible courses of action; providing advice, guidance, and direction.
  • Assist in preparing, maintaining and updating employee database (i.e. SuccessFactor, Training, WFN, Sharepoint) and various related reports (i.e. absenteeism, hourly performance reviews status, turnover, vacation / leave of absence / emergency leave, overtime).
  • Maintain Human Resources records by documenting incidents and resolutions of problems.
  • Assist in administering STD and LTD and disability management under the guidance of the Sr. HR Generalist.
  • Assist managers / supervisors / team leaders in dealing with employee issues including investigations and providing advice in managing the progressive disciplinary procedures.
  • Responsible for all Human Resources Bulletin Boards and maintenance of the forms in the Employee Entrance.
  • Lead recruitment activities in accordance with the company’s recruitment policies.
  • Ensure fair and equitable treatment of all employees while maintaining confidentiality.
  • Assist in the developing and implementation of new programs.
  • Maintain confidentiality and accuracy of appropriate documentation throughout employment history for all employees. Ensure all documentations are filed in the appropriate section of the personnel file.
  • Coordinate and participate in interviews.
  • Conduct new employee onboarding process and orientation.  Ensure all forms are completed by the new hires and update new employees to the employee database (e.g, Vacation Tracking System, Access, etc.).  Prepare personnel files for new hires and ensure all required documents are filed in the personnel file for new hires. 
  • Provide flexible coverage across shifts when required and have a daily presence on the shop floor.
  • Prepare letters, memorandums announcements (e.g., condolences, births, new employees, etc) and other documents as required.
  • Coordinate and administer Service Award Program
  • Must be flexible in fulfilling job function.
  • May require to make travel arrangements, catering activities and coordinate workshops.
  • Contribute to team effort by accomplishing related results as needed.
  • Perform other duties and projects as assigned.
  • Provide coverage at Reception as required.

 

  • Meetings/Committees:
  • Prepare and post employee meeting schedule, agenda and minutes.
  • Consolidate and prepare employee meetings presentations.
  • Attendance at Employee and Human Resource Department Meetings.
  • Provide support to the Employee Relations Committee.
  • Coordinate of social events.
  • Attend other meetings as required

Health, Safety and Environmental

Ensure safe practices prior to working on any equipment as to prevent harm to himself/herself and to others (i.e., lockout procedure, barricading areas, safe handling of materials, etc.).  This includes making supervisor aware of any unsafe procedures or areas so that corrective actions can be taken.

 

According to Occupational Health and Safety Act (OHSA) Section 28, Subsection (1) (a), (b), (c), and (d); a worker shall:

 

  • Work in compliance with the provisions of the Act and the regulations;
  • Use or wear the equipment, protective devices or clothing that his employer requires to be used or worn;
  • Report to his or her employer or supervisor the absence of or defect in any equipment or protective device of which the worker is aware and which may endanger himself, herself or another worker;
  • Report to his or her employer or supervisor any contravention of the Act or the regulations or the existence of any hazard of which he or she knows
  • In addition to the above, a worker is responsible to ensure that they are in compliance with the divisions’:

     

  • Rules and regulations as outlined in the divisions’ Employee Handbook.
  • Health and Safety policies and procedures as outlined in the divisions’ Health and Safety Management System.
  • Environmental policies and procedures as outlined in the divisions’ Environmental Management System.
