Position Summary
The Town of Milton is accepting applications for the full-time contract position of Human Resources Assistant. Reporting to the Director, Human Resources, this position is responsible for providing a variety of essential services within the Town of Milton’s Human Resources Division such as providing administrative support to an HR team, ensuring accurate and confidential records management and reporting, coordinating the recruitment and onboarding process, and coordinating and supporting the administration of programs and processes.

 

Major Job Responsibilities
Administration and Customer Service:

  • Coordinates and delivers dedicated administrative support for the HR division
  • Acts as the first point of contact for general HR related inquired from the public and staff
  • Prepares correspondence, processing confidential reports and documents, orders supplies, arranges meeting, prepares agendas and takes minutes as required
  • Distributes internal and external HR mail
  • Establishes and maintains a broad variety of internal and external communication channels to promote HR services and job opportunities
  • Inputs employee data as required into HR and payroll system ensuring accuracy and integrity of data
  • Works with payroll to ensure successful and complete transfer of employee records changes
  • Coordinates and conducts filing of hard and soft copy documents to ensure accurate, organized and up to date records management
  • Coordinates and processes various invoices
  • Logs data from various sources such as Incident/Accident reports, Recruitment Requisitions and training records

Recruitment Support:

  • Assists in the recruitment process; coordinates job postings, assists in screening as required, schedules interviews, administers testing, performs reference checks and drafting candidate correspondence.
  • Manages and maintains the Applicant Tracking System (ATS) to ensure all activity is tracked and progressed through the stages of the recruitment process
  • Prepares employee onboarding materials and resources
  • Manages the workflow with other divisions/departments in relation to new hires and employee changes

Program Support:

  • Assists in the drafting and development of policies, procedures, processes and work flow as required
  • Supports the HR team in the coordination and delivery of programs and events 
  • Coordinates staff training including; managing invitations, attendance tracking, securing facilities and training materials
  • Manages training records within HRdownloads and troubleshoots issues
  • Conducts benchmarking research as required

 

Education and Experience

  • Post-secondary degree/diploma, preferably in Human Resources Management or Business Administration
  • Degree or post-graduate certificate in Human Resources/Industrial Relations/Organizational Development preferred
  • One (1) year experience in a confidential Administrative/Office setting
  • Experience working in a Human Resources capacity is preferred
  • Proficiency in Microsoft Office Suite of products, including Outlook, Word, PowerPoint and advanced understanding of Excel (formulas, graphs and data management analytics)
  • Excellent customer service skills and detail-oriented
  • Ability to respond to sensitive and confidential matters with diplomacy and tact
  • General knowledge of employment and human rights legislation
  • Experience with HRIS, Applicant Tracking System, SharePoint, Learning Management Systems is preferred

 

Salary Range: $48,494 - $60,618
