Overall job purpose:

Under the direction of the Manager, Total Rewards, the Benefits Coordinator will provide support and client service in the administration of group insurance benefits programs and contribute to Benefits and Total Rewards programs. Working closely with the Benefits Specialist, the Benefits Coordinator will be responsible for providing coordination and administrative support for the benefits portfolio of the Canadian Medical Association (CMA) and affiliated divisions and will act as a liaison between employees and third-party vendors. 

Key responsibilities:

  • Provides administrative and coordination support for a variety of benefits plans and programs (e.g. Group Insurance, Leave Management, EAP, Wellness) in accordance with applicable legislation. 
  • Maintains accurate and timely benefit records, and updates benefits systems as required.
  • Coordinates onboarding of new employees/affiliates into Group Insurance plans.
  • Supports the Benefits Specialist in facilitating leave requests and in completing benefit terminations.
  • Processes/provides updates to the People and Culture Operations team and Payroll where required.   
  • Manages Benefits email inbox, acts as a touchpoint for benefits inquiries and escalates to the Benefits Specialist where required.
  • Establishes solid working relationships with benefit consultants and external providers.
  • Reconciles/processes monthly invoices and distributes to internal and external stakeholders.
  • Provides support for the annual benefit re-enrolment process.
  • Supports validation and audit of associated Benefits systems, processes and billing.  
  • Supports development of content to promote Benefits programs including updating and maintaining information on Zone (intranet site).
  • Contributes to the enhancement of Benefits administrative processes, identifies and recommends improvements, documents processes and updates related materials. 
  • Participates in the Total Rewards SharePoint File Migration project. 
  • Assists with other ad hoc reporting and other Total Rewards projects as required.
  • Acts as a backup to the Benefits Specialist.

  • Excellent oral and written communication skills in English (Bilingual English/French preferred).

  • Excellent interpersonal and customer service skills.
  • Intermediate to Advanced skills in standard Office applications (Excel, Word).
  • Skilled in the use of Human Resources Information Systems (HRIS).
  • Well organized with superior attention to detail, ability to work accurately with figures.
  • Ability to prioritize and manage multiple priorities and tasks.
  • Ability to work independently and as part of a team.

Education:

  • Diploma in Business Administration or Human Resource Management preferred.

Experience:

  • 3-5 years of relevant professional experience
  • Previous direct experience performing benefits administration required.
  • Working knowledge of legislation as it applies to group benefits administration.
  • Experience working with Microsoft SharePoint an asset.
