ABOUT CHILD DEVELOPMENT INSTITUTE

Child Development Institute (CDI) is a leading children’s mental health agency in the City of Toronto offering a range of services to approximately 3,500 children ages 0‐12, youth ages 13-18 and their families each year. Our mission is to promote and support the healthy development of children and to strengthen the families and communities in which they live. We provide four streams of service to families in need: early intervention, family violence, healthy child development and specialized mental health services for children and youth with learning disabilities.

POSITION SUMMARY

Child Development Institute (CDI) is seeking an HR Administrator to join our HR Department. Under the direction of Human Resources Manager, this position will be responsible to provide a comprehensive range of administrative, support, and clerical activities, for the functions of, including but not limited to, onboarding/off-boarding, orientation, file records management, job postings, employee relations, and organizing training sessions and staff events.

DUTIES & RESPONSIBILITIES

Human Resources

  1. Prepare personnel files for new hires and ensure all required documents are filed in the personnel file and scanned.
  2. Assist in preparing, maintaining and updating employee files, database (i.e. HRIS) and administering Police Check/VSS process.
  3. Assist with recruitment, by maintaining track of job vacancies and posting all vacant roles on all appropriate job boards.
  4. Prepare written offers of employment for selected candidates per approved terms and conditions.
  5. Draft employee change letters and working cross functionally with stakeholders to ensure changes are reflected throughout the organization (i.e. employee status changes, promotions etc.).
  6. Monitor, respond (written/verbal) or direct incoming emails appropriately from the general HR inbox.
  7. Respond to written and verbal inquiries for the purpose of providing information and/or direction.
  8. Prepare letters, announcements and other documents as required.
  9. Participates in employee orientation by overseeing all onboarding statutory and agency training (via HRDownloads)
  10. Manages annual trainings and staff survey(s) using HR Downloads.
  11. Coordinates Student and Casual Placements and onboarding/offboarding.
  12. Coordinates Staff Awards and Recognition initiatives and events
  13. Review and act on incoming HR correspondence and
  14. Maintain all department filing up to date such as Service Provider contracts, government communications, and severance documentation.
  15. Assist with Performance Review (annual, probationary)

System Administration

  1. Assist with ongoing Ceridian Dayforce (HRIS) systems product releases and upgrades which entail analysis, testing of functionality, reporting elements
  2. Assist HRIS Module Implementation(s) and ongoing configuration
  3. Assist with HR technology projects as it relates to process improvement and strategic design.

Other

  1. Conduct any ad hoc reporting and analysis as required.
  2. Perform any other administrative tasks that may be required.
  3. Back-up for Payroll and Benefits Specialist
  4. Perform other duties that may be required or assigned from time to time.

Minimum Qualifications and Skills

  • College Diploma in related Business Administration, Human Resources or related field preferred,
  • Minimum three (3) year working experience in a HR or Payroll role required.
  • CHRP or PCP designation, or working towards, considered an asset
  • Working knowledge of Collective Agreement administration and the ability to effectively interpret and apply accordingly.
  • Proficiency in Microsoft Office Outlook, Word, Excel, PowerPoint and experience with HRIS.
  • Possess strong verbal and written communication skill,
  • Demonstrated ability to multi task, probe, analyze and problem solve issues,
  • Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
  • Be a dedicated and flexible team player able to interact with team members, and colleagues at all levels of the organization,
  • Capacity to exercise extreme discretion with sensitive and confidential information,
  • Have a friendly and approachable demeanour which compliments a high energy level and exemplary organizational skills,
  • Demonstrated ability to work in a respectful and aware manner with groups from diverse background and experiences.  

Working Conditions

  • Governed by concurrent and dynamic deadlines, despite conflicting priorities and frequent interruptions.
  • Fast-paced work environment.
  • Frequent handling of queries and calls from staff, managers, and external government bodies.
  • Occasionally required to work overtime in order to meet deadlines.
  • This is position is an office based role.
