The Human Resources Department provides a range of supports for prospective, new, and current employees including recruitment, employee orientation, labour relations, occupational health and safety, employee recognition, payroll, wellness, and maintenance of all confidential files.

PURPOSE:  

Function as part of the Human Resources team providing support in all aspects of office operations, with the main focus being recruitment, onboarding, and benefits administration.

SPECIFIC RESPONSIBILITIES:

Employee Recruitment

  • Ensure recruitment & hiring procedures are followed as per CBU policy and/or applicable Collective Agreement.
  • Provide advice/information or training to selection committees as required.
  • Prepare job postings ensuring appropriate information is included and arrange for appropriate advertising locations.
  • Communicate with short listed candidates during to ensure they are kept up-do-date throughout the interview process.
  • Arrange interviews, make hotel arrangements as required.
  • Arrange for travel reimbursement as required.
  • Other duties as required.

Employment Contracts

  • Prepare and issue employment contracts resulting from recruitment process, faculty renewal contracts, etc.
  • Review general employment contracts for accuracy and identify potential problems, e.g. maximum teaching loads, appropriate salary, payment dates, etc.

Employee Orientation

  • Prepare/update orientation material for new employees including information on benefits, policies, procedures, etc.
  • Initiate and coordinate the orientation process for new employees.
  • Ensure completion of paperwork to meet required deadlines for payroll and benefits.
  • Assist with the coordination of the annual/bi-annual orientation for new employees.

Benefits

  • Maintain up-to-date knowledge of various benefit plans and associated rules.
  • Enroll new employees into benefits plan(s) within applicable deadlines.
  • Respond to queries from employees.
  • Notify employees who are no longer eligible for LTD benefits, i.e. age limits.

Job Design & Evaluation

  • Maintain record of job evaluation process, including due dates, sending reminders and evaluation data.
  • Maintain records for the non-union job evaluation process and participate as a member on the associated committee.
  • Participate as an alternate member on CUPE job evaluation committee.
  • Prepare & issue correspondence to implement resulting salary changes resulting from job evaluation
  • Create and update job descriptions, as required.

Other

  • Update HRIS (Compass).
  • Track employment contract expiry dates and notify supervisors. 
  • Prepare and issue union seniority dates according to collective agreements.
  • Monitor and update Human Resources website (internal and external).
  • Respond to day-to-day inquiries related to collective agreement interpretation. Refer more complex issues to Manager of Human Resources.
  • Conduct exit interviews, as required.
  • Maintain the Federal Government Employment Equity database.
  • Complete Stats Canada faculty and numerous other surveys.
  • Asist with other projects and initiatives, as required.

QUALIFICATIONS and SKILLS:

  • Post-secondary degree or diploma in a related field or a combination of education and experience
  • Minimum of 3-5 years’ relevant work experience.
  • Experience working in the human resources field, preferably in a unionized environment.
  • Experience utilizing an applicant tracking system is considered an asset.
  • Experience with job evaluation methodology is considered an asset.
  • Exceptional computer skills – MS Word, Access (database management), Excel, Power Point, Outlook, web browser.
  • Ability to maintain confidentiality.
  • Strong oral and written communication skills.
  • Attention to detail and strong organizational skills.
