Human Resources Representative

This position contributes to and supports the provision of exceptional employee-centred HR support.  Working closely with the HR Manager, the HR Representative will perform primary duties as outlined below to ensure the maintenance of high service levels to both our internal and external customers.

Major Responsibilities:

Recruitment

  • Conduct full cycle recruiting for a variety of positions
  • Actively source candidates to build talent pipeline through social media, resume data banks, etc.
  • Manage the recruitment process, including:
  • prepare and manage job postings
  • screen resumes
  • conduct telephone pre-screen interviews
  • coordinate interviews
  • conduct in-person interviews
  • make recommendations for hire
  • co-ordinate behavioural traits assessments and reference checks
  • prepare and extend offer letters

HRIS - ADP Workforce Now (WFN)

  • Update employee data as required through the Status Change Form procedure
  • Ensure employee information is accurate and up-to-date in WFN
  • Assist with creation & implementation of various WFN tools including performance reviews, recruitment/applicant tracking, onboarding, etc.
  • Maintain WFN Employee Homepage
  • Upload employee file documents onto the cloud in WFN
  • Produce regular and ad-hoc reports, as needed

    Benefits/Pension
  • Assist new employees with the benefits & pension enrolment process
  • Provide administrative support on the benefits plan including auditing monthly bills/reports to ensure all salary increases, changes and terminations have been implemented
  • Update Canada Life with employee information as required
  • Maintain pension tracking sheets
  • Complete and submit STD/LTD/WSIB forms, as required
  • Answer employee inquiries

 

Onboarding/Offboarding

  • Coordination and maintenance of on-boarding materials
  • Conduct new employee on-boarding process  
  • Prepare employee identification cards
  • Set new employees up in punch clock, as appropriate
  • Prepare lay-off letters/termination paperwork
  • Conduct exit interviews
  • Terminate employees in HRIS and all other applicable platforms
  • Complete appropriate forms for pension/benefit termination
  • Update all applicable tracking sheets

Co-op Coordination

  • Prepare offer letters and new hire packages
  • Conduct group welcome sessions
  • Conduct orientation sessions
  • Ensure end of term evaluations and termination forms are completed
  • Update HRIS and internal tracking sheets

    Engagement
  • Assist with the co-ordination of employee events including Christmas Parties, Summer Picnics, Massage Program, Flu Clinic, etc.

    Employee Relations
  • Maintain an open-door policy in fielding general HR questions and concerns from employees
  • Provides answers to questions/concerns in a timely manner
  • Conduct check-in meetings with new hires

    Learning & Development
  • Identification of training needs based on employee development plans
  • Source facilitators for various training & development needs; organize date/time/location/logistics of training
  • Roll-out various trainings through Learning Management System (LMS) - Absorb
  • Run reports through LMS to track compliance with training requirements
  • Selection and coordination of Lunch & Learns 

Administrative Duties

  • Coordination and maintenance of employee data and files
  • Manage related data changes in HR systems including HRIS, Canada Life and internal tracking sheets re employee changes
  • Provide support on training activities including coordination of timing, enrollment, preparation of materials and other logistics
  • Prepare and communicate company announcements
  • Post announcements, job postings and other postings on bulletin boards
  • Prepare and distribute new employee announcements
  • Provide support on other administrative duties, as required

    Payroll
  • Complete Payroll Change Notices for new hires, leaves of absence, terminations, transfers and compensation updates
  • Assist with the annual salary increase process (increase letters, verification of data, data input, etc.)
  • Provide backup support to payroll, as required

    Health & Safety
  • Participate in Joint Health & Safety Committee
  • Conduct regular office/plant inspections and investigations of incidents
  • Make recommendations for improvements on health and safety issues
  • Encourage workers to report hazards and concerns to their supervisor

    Policy Revisions
  • Review, update and communicate internal policies, as needed
  • Ensure company compliance with gov't regulations

    Special Projects
  • Participate in HR initiatives and special projects (surveys, policy reviews, research/information requests, etc.)

    Other
  • Filing employee documents
  • Other assigned duties and tasks, as required

Qualifications:

  • Post secondary education in HR Management
  • CHRP designation is desirable, but not necessary
  • Minimum 2-4 years’ experience in Human Resources
  • Recruitment experience required
  • Experience with ADP Workforce Now required
  • Experience with Learning Management Systems required (Absorb experience preferred)
  • Experience in a manufacturing environment with a salaried and hourly workforce preferred
  • Previous experience processing payroll preferred
