The Payroll & Scheduling Analyst will support all aspects of payroll administration and will act as the functional lead in supporting the creation and maintenance of staffing schedules across the Hospital.

 

Qualifications:

  • Relevant 3-year College Diploma
  • 2 to 3 years of experience in either payroll, benefits or scheduling is preferred
  • Experience working in a unionized environment preferred
  • Canadian Payroll Association (CPA) Level II preferred
  • Highly proficient with Microsoft Office (Excel, Word, Outlook, etc.)
  • Excellent customer service demeanour 
  • Excellent communication, organization, and problem-solving skills
  • Ability to accurately perform the duties of the role with a focused attention to detail

  • Familiarity with an automated scheduling system / tool preferred
  • Must adhere to the duties of workers, as stipulated in the Occupational Health and Safety Act

Duties and Responsibilities:

Payroll Responsibilities

  • Responsible for performing a variety of tasks related to the production of CGMH’s bi-weekly employee payroll.
  • Responsible to process and run the regular payroll (gross to net pay processing)
  • Administration of various special payments, manual cheques and regular monthly remittances (government, benefit, garnishments, etc..)
  • Researches and resolves coding discrepancies and exceptions requiring further investigation
  • Supports year-end regulatory filings
  • Supports special projects such as T-4 generation and distribution, CSB enrolment, etc…
  • Support participation in payroll related surveys
  • Audit and maintain pay scales, pay codes, job codes, etc…
  • Prepares remittance and reconciliation of deduction reports
  • Checks output against input, and follows up on discrepancies
  • ensures compliance with legislation

Benefits Administration Responsibilities:

  • Responsible for assisting in the daily administration of employee benefits, pension and disability plans.  Duties include: documentation of new employees (and subsequent changes), completion of benefit reconciliations and insurance billing, advises employees on benefit availability and eligibility requirements.

Scheduling Responsibilities:

  • Collaborates with the Management team to understand staffing requirements in order to build and maintain schedules and manage vacation requests
  • Works in partnership with programs and departments ensuring that their scheduling needs are met
  • Responsible for providing scheduling and workforce planning expertise and guidance to hospital management
  • Responsible creating staffing schedules to meet the hospital's needs and in compliance with collective agreements and non‐union departmental policies as they pertain to remuneration, hours of work, scheduling of hours, replacement of employees and awarding of shifts.
  • Processes requests for leave and works with the Staffing Office to ensure vacancies due to leaves are filled appropriately with prior approval.

System / Tool Responsibilities:

  • Implementation of system changes to the payroll and staffing system resulting from changes to collective agreements, policies and legislation
  • Responsible for the development of ad hoc & standardized reports; meeting with end users to understand report requirements
  • Creates processes to optimize the capabilities the payroll & scheduling system
  • Supports system improvement initiatives / upgrades
  • Prepares training resources and delivers educational presentations to user community as required.
