Job Details

RESPONSIBILITIES

  1. Understands and adheres to established Fairhaven policies, procedures, and collective agreements
  2. Reviews with Department Managers staff schedules prior to posting ensuring full compliment of staff optimizing highest caliber of resident care
  3. Oversees and ensures call-in procedure for staff replacement reinforcing consistency and CA requirements
  4. Oversees and assists in problem solving with call-ins for staff replacement
  5. Oversees and ensures staff scheduling documentation is entered into ComVida every interaction, call logs are accurate etc.
  6. Supervise the scheduling team
  7. Coaches/mentors to improve Scheduling Team performance as a whole and individually
  8. Review and complete scheduling inquiries – tracking errors, reporting on the information, audits and reduce costs
  9. Verify scheduling information on a bi-weekly basis for payroll transmission
  10. Post payroll investigate any employee payroll inquires verifying if corrections are required and send to payroll
  11. Complete audits and tracking of staff inquiries, errors, vacancy rates, timelines etc
  12. Assist the Human Resources Manager on developing and maintenance on absenteeism tracking/analysis
  13. Attends grievance meetings as required
  14. Ensure vacation grids are complete on time and audit entries into ComVida for accuracy
  15. Work with the Human Resources Generalist - Health and Wellness and ensure staffing returning from leaves and leave of absences are coded correctly  
  16. Work with the Human Resources Generalist – Recruitment & Administration, by ensuring hiring/transfers/terminations are per the CA scheduling requirements
  17. Provide back-up to the HR team for HR operations as needed
  18. Participates in Fairhaven’s mandatory training and in-service education as required
  19. Implement a safety culture within area of responsibility by ensuring residents and staff comply with all aspects and regulations related to the Ontario Occupational Health and Safety Act and Fairhaven’s Health and Safety policies and procedures, and other governing bodies
  20. Perform all other duties as assigned

QUALIFICATIONS

  • Post-secondary diploma in Human Resources and/or equivalent education and experience
  • Minimum 2 years’ experience with any of the following: staffing, scheduling, payroll, following contract language/HR
  • Experience in a healthcare setting an asset
  • Strong computer skills including working knowledge of Microsoft (Excel, Outlook, Word) and databases
  • Proven sound judgement and practices as well as excellent communication and organizational skills are a must
  • Demonstrated ability to achieve goals and objectives within specified time frames
  • Excellent conflict resolution and change management skills
  • Must be able to work in a constantly changing environment as an effective team player with multiple parties
  • Available to work weekends and statutory holidays
