Position Summary:

Reporting to the Manager, Talent Acquisition, the Talent Acquisition Coordinator supports recruitment and selection activities and projects, to contribute to departmental objectives. The Talent Acquisition Coordinator will advise hiring supervisors on recruitment and selection processes, create and track offer documents, and gather/ report meaningful and accurate metrics. The incumbent will also support the Talent Acquisition Specialists, with interview scheduling, preparing documents and job postings.

Responsibilities: Job Offers and Administrative Support

  • Validates all required applicant documents and internal supporting documents are received.
  • Creates offer package and extends to hiring manager and candidate for signatures.
  • Composes offer letters, confidential correspondence, and reports.
  • Assists with creation, implementation and documentation of Talent Acquisition processes and policies.
  • Processes invoices and payments.
  • Assists with job postings on Seneca Careers website, and other external websites.
  • Responding to inquiries from employees and job applicants in a timely manner.

Recruitment Support

  • Reviews Authorization to Recruit (A2R) requests for completion and accuracy, sets approval path, and monitors progress.  Assigns A2R to a Talent Acquisition Specialist.
  • Assists in setting up candidate interviews, conducting telephone pre-screening, and reference checks.
  • Coordinates candidate skills testing.
  • Responding to applicant queries by phone and email.

Applicant Tracking System Administration

  • Uploads job postings to the Applicant Tracking System (Taleo), external job boards, social media sites, and ensuring timely removal when posting closes.
  • Provides technical support for applicants using Taleo.
  • Closes competition files in Taleo.

Reporting

  • Runs Talent Acquisition reports from Taleo (ie. Semi-Annual/Annual Report, Statistics Canada, etc.)
  • Responds to requests for ad-hoc reports from HR stakeholders, and creates new report templates in Taleo.
  • Ensures that metric reporting is accurate, clear, and well presented.

Talent Acquisition Projects

  • Assists projects related to technology enhancements, processes improvement, career site enhancements, and other Talent Acquisition and HR projects.

Qualifications: Education

  • Minimum of a completed two (2) year diploma in Human Resources, Business Administration, or a closely related field.

Experience

  • Two (2) years of experience working in Human Resources, preferably within Talent Acquisition.
  • Solid understanding of legislation, regulations, policies and procedures.
  • Experience producing reports and documents.
  • Prior experience with Taleo Application Tracking System is considered an asset.
  • Experience working in a unionized environment is an asset.
