West Park Healthcare Centre helps patients get their lives back by providing inpatient, outpatient and outreach services in specialized rehabilitative and complex care after a life-altering illness or injury such as lung disease, amputation, stroke, and traumatic musculoskeletal injuries.  By 2023, West Park’s 27-acre site will be transformed into an integrated campus of care, including a new hospital building and additional community supports such as assisted living for persons with disabilities and seniors.  This transformation enables the Centre to evolve its rehabilitative programs and strengthen links to community-based services to meet the future healthcare needs of our local community and the province.

Position Summary:

The Human Resources Clerk is the first point of contact for the Human Resources Department.  The position determines the immediate needs of the customer, provides assistance where practicable or refers them to the appropriate Human Resources personnel.

Accountabilities:

  • Maintains reception area coverage during the Human Resources Department’s general office hours
  • Answers internal and external customer enquiries either by telephone, email or in person or refers them to a Human Resources team member as appropriate
  • Performs general office duties including filing, photocopying, mail distribution, preparing job postings, typing memos, filling in key information to form letters (annual wage adjustment increases, benefit changes), sending termination emails, scheduling meetings/interviews and applicable space for meetings, and ordering/maintaining office supplies in a fiscally responsible manner
  • Ensures current and relevant information is displayed and accessible to employees in the Employee Resources Room
  • Assists with the Centre’s annual Long Service recognition program as required
  • Maintains employee files in adherence with Records Management practice
  • Responsible for placing Grand and Toy orders and verifying receipt of ordered items
  • Distributing the monthly end of temporary employee contract reminders to managers
  • In conjunction with the HR Representative - Recruitment, arranges advertising for external and internal job posting boards, pulls resumes from the resume database, and conducts criminal reference checks
  • Completes written HR employment verification correspondence to employees and third parties as requested
  • Conducts the annual employee license/registration process as per the Centre’s policy and procedures, and provides the Chief Human Resources Officer and Chief Nursing Executive and Health Professions Officer with an annual update
  • Completes registration of new staff into Kronos system
  • Provides administrative support in the absence of the Human Resources Assistant
  • Other duties as assigned

Qualifications:

  • High School Diploma
  • Secretarial/Administrative Assistant Certificate or Diploma preferred
  • 3 years office administration/reception experience
  • Intermediate keyboarding skills (40 wpm)
  • Intermediate computer skills (Microsoft Office Suite)
  • Strong attention to detail
  • Effective interpersonal, organizational and communication skills
  • Demonstrated customer service philosophy
  • Ability to handle situations with tact, professionalism and discretion
  • Ability to function independently and take direction
  • Previous working experience in a Human Resources Department preferred
  • Previous office experience in a Health Care environment an asset
