Background

The Schlegel-UW Research Institute for Aging (RIA) is a charitable non-profit organization that partners with the University of Waterloo, Conestoga College, and Schlegel Villages to enhance care and quality of life for older adults. Through engagement with key partners and collaborators, RIA supports practice-relevant research and knowledge mobilization. Research evidence is used to inform programs, education and training, and influence practice and policy.

Primary Purpose

The Human Resources Manager will manage and coordinate all administrative activities related to human resources. Under the direction of the Senior Director of Operations and Planning and in alignment with the organizational culture, the Human Resources Manager will lead and operationalize staff recruitment, retention, policy development, and new hire onboarding for the organization and contribute to a positive workplace culture. This role will model the RIA’s values and culture and support organizational compliance with internal policies and various government regulations.

 

Key Accountabilities

  1. Human Resources Leadership: Lead the development and execution of human resource programs and initiatives that support people and culture, recruitment, and retention. Support the development, maintenance, tracking and improvement of organizational policies and procedures. Establish and maintain employee records, policies, procedures and reports. Create standard documentation to ensure instructions are in place for key processes. Lead compliance with various regulations including Employment Standards Act, Accessibility for Ontarians with Disabilities Act and the Joint Health and Safety Act.
     
  2. Recruitment: Complete full-cycle recruitment for all internal and external positions to fill vacant positions to meet role requirements. Responsible for sourcing and pre-screening qualified candidates, administering the interview process, checking references, verifying contract conditions and executing employment contracts. Support the development and maintenance of detailed and consistent job descriptions that reflect the needs of the role. Lead the development and execution of team member orientation and onboarding in alignment with the organizational culture and values.
     
  3. Retention: Execute programs to support organizational culture and employee retention, including professional development, employee performance evaluations, and team events and functions, etc. Administer payroll/compensation and benefits (health, vacation, etc.) for all employees. Use surveys and other methods to monitor employee satisfaction.
     
  4. Team Relations and Communication: Work with the operations team to support company-wide communications and initiatives to maintain organizational culture, transparency and team member engagement. Work with RIA’s Human Resource Advisor and Senior Directors on the management of complex issues as they arise. Serve as a resource for employees to provide advice and guidance regarding organizational policies and procedures. 
     
  5. Continuous Improvement: Identify and implement continuous improvement opportunities related to efficiency, communication, government regulations and best practices, in consultation with the Senior Director of Operations. 
     
  6. Other: Support special projects and other initiatives as required.
     

Position Requirements

Education:
Bachelor’s degree in human resources management or a degree in a related discipline. Additional certifications or education in performance evaluations, conflict resolution, human resource policies as it relates to the not-for-profit sector an asset.

Skills and Experience:

  • Minimum of 5 years of experience in the field of human resource management and creating a thriving workplace culture.
  • 3 years of experience supervising staff to achieve outcomes.
  • Excellent communication skills, including conflict management and employee relations.
  • Excellent leadership and decision-making skills with an ability to facilitate discussion and co-operation to inform decision-making.
  • Ability to maintain a high degree of professionalism with respect to confidentiality and sensitive information.
  • Ability to identify, adopt and use various systems/technologies to optimize human resource processes.
  • Ability to model RIA values and nurture and drive a collaborative and thriving workplace culture.
  • Ability to manage multi-variant tasks and competing priorities in an organized and efficient manner.
  • Ability to problem solve and drive, plan and manage change.
  • Self-starter with a proactive attitude who can anticipate needs.
  • Well-versed in government regulations, including the Employment Standards Act.
  • Experience and fluency using Microsoft and Google Workspace products.
  • Fluent in English. Fluency in French is an asset but not required.
  • Eligible to obtain a police background/criminal record check.  
     

Scope of Work

  • Interpersonal Skills: Communicates effectively with team members and colleagues; professionally represents the RIA in all communications and at events.
  • Level of Responsibility: Responsible for ensuring the effective and efficient implementation of human resources practices and initiatives in alignment with government regulations.  Responsible for maintaining confidentiality and professionalism with sensitive information.
  • Decision-Making Authority: Accountable to make operational decisions for day-to-day human resources operations with support from the Senior Director.
  • Physical and Sensory Demands: Minimal demands, typical of a position operating within an office environment; periods of extensive sitting at a desk and in meetings and concentrated use of visual senses; substantial repetitive keyboard/mouse movement; high sensory demands because of required concentration and attentiveness to detail and regular distractions and interruptions.
  • Working Environment: Much of the time is spent sitting in a comfortable position with frequent opportunities to move about. Office is located in a comfortable indoor area. This role is required to be in the office with options for occasional remote work. The work is varied and assignments may change frequently. Work will involve regular interaction with RIA team members and external partners and collaborators. There are deadline pressures, while at the same time there is a demand for thoroughness and accuracy. Occasional travel is required.
