Dixon Hall Neighbourhood Services is currently accepting applicants from qualified candidates for the position of a Junior Payroll & HR Admin Clerk – People & Culture Dept. Reporting to the Director of People & Culture, the Junior Payroll & HR Admin Clerk is responsible for assisting with the Customer Service experience, Recruitment & File Management.  

Responsibilities

  • Operate in an effective, efficient and client focused manner to achieve the best outcomes for clients.
  • Work collaboratively with all members of Dixon Hall teams, other Dixon Hall staff and departments and volunteers.
  • Respond to the needs of all departments.
  • Participates in the full recruitment cycle (including identification of staffing needs, job posting creation, candidate screening, etc) and resource planning to ensure staffing requirements are met in an effective and timely manner
  • Participates in the development and delivery of employee engagement initiatives across the agency
  • Provides basic guidance, and solutions to employee inquiries on various HR-related issues.
  • Accurately process payroll on a bi-weekly cycle for union and non-union employees in ADP workforce now
  • Set up and terminated employees in ADP
  • Approve and process vacation requests – send out ADP
  • Set up and terminate new employees (sign CRA forms) in ADP
  • Review departmental timesheets, updating and maintaining records
  • Proficiency with computers, utilizing, Microsoft, google suites & ADP workforce now system.
  • Advance payroll experience with government remittances and deductions
  • Maintaining historical records
  • Investigating and resolving payroll issues and discrepancies
  • Interprets and provides guidance to staff on the collective agreement, agency policies, and new government legislation.
  • Confirms employment verification inquiries and drafts letters.
  • Provides general administrative support including staff announcements, Hidden Dimension’s, organizational charts, and document distribution.
  • Attends and records minutes during HR Committee and Health and Safety Committee Meetings.
  • Performs a wide range of filing and/or reporting work as required.
  • May perform other related duties as assigned.

 

 

 

 

Qualifications

  • Diploma, degree and/or certificate in Payroll/Human Resources or equivalent.
  • Up to 2 years’ experience in an administrative-level role within a fast-paced and dynamic environment
  • 1+ experience in Payroll (preferred)
  • Familiarity with HRIS systems, ADP experience (work force now).
  • Strong customer service focus, time management, and interpersonal skills, with excellent communication skills for dealing with a wide range of individuals, especially with both technical and financial backgrounds.
  • Excellent ability to juggle multiple priorities while adhering to processes and deadlines.
  • Independent and self-motivated, with the ability to take the initiative in liaising with other departments and/or external resources
  • Analytical and problem-solving skills
  • Ability to maintain a high level of confidentiality. Able to provide a “Clear” or satisfactory Vulnerable Sector Police Check as determined by the operational requirements of the program. MUST be qualified to work in Canada legally for the Employer.
