Scope for the position:

To provide assistance and support to the Human Resources Manager in all aspects of the Human Resources function including, but not limited to, the compilation, maintenance and processing of information related to employee relations, staffing, recruitment, training, performance evaluation and fostering positive employee relations in support of multiple company facilities and in collaboration with US based parent company.

Basic function of the position:

  • Assists with tasks throughout all areas of Human Resources Department
  • Responsible for maintaining human resources records (e.g., Employment Insurance, Workers Compensation, absences and other human resources documentation)
  • Responsible for selection and recruitment for all hourly positions
  • Responsible for onboarding and offboarding duties for all positions
  • May compile statistics for Management use

Duties and Responsibilities:

  • Process and verification of all documentation relating to personnel activities such as staffing, recruitment, training, performance evaluations, changes, etc.
  • Prepare reports and make recommendations to reduce absenteeism, improve employee engagement and reduce work-related injuries
  • Prepare employee communications including separation notices and related documentation and conduct exit interviews to determine reasons behind separations
  • Manage the full selection and recruitment cycle such as job postings to fill vacancies; internal and external, assist in screening and rating of job applicants, interviewing and conduct reference checks
  • Assists in advising managers and supervisors on legal compliance issues including Employment Standards Act, Workers Compensation Act and Human Rights Code legislations
  • Assists with creating new Human Resources policies
  • Coordinate training programs and work with HR Manager and department Managers to determine training needs
  • Work with HR Manager to ensure a smooth and effective performance review process including tracking progress for Management
  • Work in support of the company’s multiple facilities across Canada
  • Supporting the HR Manager, work in close collaboration with the U.S. based parent company HR team Prepare and manage orientation process for all new hires, including permanent and contract workers
  • Coordinate all health benefit and pension related programs including enrolments, changes and terminations
  • Conduct Benefit orientations
  • Function as the plan administrator for all LTD claims
  • Maintain and update employee records in employee database (HRIS) and compile and prepare reports as needed
  • Maintain both hard and digital copies of employees’ records
  • Manage Health and safety matters (e.g.WSIB claims and return to work accommodations, etc.)
  • Provide support to the Joint Health and Safety Committee
  • Coordinate company recognition programs and social events
  • Execute other duties and responsibilities as assigned

Required qualifications, education, experience, training, skills, background, certifications:

  • Diploma or Degree from an accredited College or University with a focus in Human Resources Management
  • Two to three years of experience in Human Resources
  • Knowledge of current employment legislations
  • Ability to read legislative documents related to human rights, or labour standards to ensure compliance with legal requirements and to be able to effectively communicate related information to employees as required
  • Ability to read application forms, resumes and cover letters from applicants in order to evaluate skills and experience
  • Ability to develop good employee relations at all levels in the organization in order to efficiently discuss projects, priorities and to provide administrative support
  • Support managers and employees by acting as a neutral third party to resolve interpersonal conflicts sensitively
  • Ability to work independently as part of the Human Resources team
  • Superior skills with computer applications including the Microsoft Suite and experience with an HRIS program would be a great asset
