Position Available:         Human Resources Officer – HR Systems

Status:                             Full Time Contract (Ending December 30, 2023); Non Union

Position Summary:

Under the direction of the Director Total Rewards and Organizational Effectiveness, the HR Systems Officer will be responsible for delivering Human Resource Information System (HRIS) functions, ensuring data integrity, processing and reporting of HR data, and user support for integrated HRIS solutions. They will problem-solve regular and non-routine requests by determining the approach or action to take and interpreting guidelines, procedures, policies, and practices. The incumbent will work independently under general direction, as well as collaboratively with others in Human Resources, Labour Relations, Health and Safety and Payroll staff in assessing needs of various business functions and assisting managers and employees with their HRIS and reporting requirements.  S/he will also be responsible for system security, as well as setting-up, maintaining and changing user profiles, and work with Payroll and vendors to ensure system integrity.

In addition, the incumbent will perform generalist HR duties including recruitment, compensation and employee services for specific client groups and will provide backup for other HR Business Partners as required. S/he will work closely with the Human Resources on other HR initiatives with a focus on Performance Management but also including job evaluation, analysis of compensation and benefits information, and will serve as a key resource for labour costing and other HR Decision Support functions.  This role will lead process development, documentation and charting initiatives and develop appropriate workflows in line with work processes and approval policies. The incumbent will serve as a liaison between the Human Resources Department, Information Systems Department, and external vendors, requiring seasoned systems knowledge and generalist knowledge of Human Resources activities.

 Key Accountabilities:

  • Audits and confirms accuracy and integrity of all data entered, maintains data in HRIS and Talent Management systems and databases and assures information is available on a timely basis;
  • Performs group data updates, exports, imports, clean-ups, and researches/reports on any data discrepancies;
  • Provides technical support, troubleshooting, and guidance to HR users and employees;
  • Delivers routine daily/weekly/monthly reporting and responds to basic to intermediate ad hoc data requests from the Ministry of Health and Long-Term Care, Management and other stakeholders;
  • Prepares reports, graphs, charts and statistics in support of human resources operations;
  • Works with HR Management to develop and report on key HR performance measurements and indicators;
  • Implements, maintains and updates the HRIS and other systems portals, applications and documents/forms; to meet changing business and technology;
  • Overseeing all system upgrades and system additions in partnership with the Information Technology (IT) department; and
  • Performs generalist human resources duties for specified client groups as necessary.

Qualifications:

  • University degree or college diploma in a related field;
  • 3 - 5 years HR experience with extensive experience and interest in HR systems is considered an asset;
  • Skills to manipulate large datasets using Excel and other reporting tools with accuracy and attention to detail.
  • You will have a customer focused approach using good interpersonal and communication skills to ensure effective service delivery;
  • HR generalist experience;
  • Experience with ADP Workforce Now (WFN) and Talent Management solutions like Halogen/Saba or Workday; Jobvite; Payfactors; OrgChart Now
  • Knowledge of Provincial and Federal employment legislation;
  • Intermediate or Advanced proficiency in Excel and other reporting tools;
  • Committed to excellence, and a team player;
  • Demonstrated initiative and ability to seek out answers to questions and problems;
  • Perform all work in a PIPEDA and FIPPA compliant manner;
  • Understanding of the Web environment (e.g., HTML, Flash, JavaScript); and
  • Adaptable, self-motivated and ability to effective set priorities, multi-task and manage deadlines in a fast-paced environment; and
  • Works independently with high attention to details and confidentiality.
