Our Employee Services Team is now hiring an Administrative Assistant to provide daily administrative support to the Director of Employee Services.

Here’s what you’ll deliver:

  • Perform administrative tasks (i.e answering and placing phone calls/emails to respond to employee/external personnel inquiries, photocopying, scanning, filing, research and data collection, drafting memos/charts/presentations etc.) and provide direct administrative support to the Director of Employee Services 
  • Receive incoming mail; review, evaluate, and distribute correspondence requiring priority attention.
  • On an adhoc basis, plan and coordinate logistics of programs including meetings, seminars, workshops, special projects, and events.
  • Assist with regular research and compliance initiatives regarding Human Resources issues.
  • Prepare draft reports, background documentation, research, presentations.
  • Research and assist the Director of Employee Services with RFP's and budget options for employment related programs
  • On a routine and ad hoc basis, build reports both written and graphical using ADP WFN, Google Sheets and Google Slides
  • Coordinate monthly department expense tracking and reporting.
  • Support total rewards programs and activities
  • Monitors and tracks annual OMVIC dealership renewals for all dealership locations
  • Eliminate unnecessary or outdated materials, destroying them or transferring them to inactive storage according to file maintenance / legal guidelines.
  • Manage employee file scanning and shredding projects on an annual basis.
  • Take and transcribe dictation and notes of highly confidential subjects, including minutes of department meetings.
  • Updates employee services phone lists and corporate contact listings
  • On an adhoc basis, assist with coordinating company events including but not limited to charitable events, social events, and employee engagement events.
  • Present a positive and professional image of the Employee Services office to all visitors, suppliers, inquiries, and other interactions.
  • Organize, maintain, and coordinate the employee services corporate office and archive storage.
  • Adheres to all applicable federal and provincial regulations and company policies.
  • Exercises full discretion, privacy and confidentiality with information in an ethical and professional manner.
  • Assumes other duties as directed by the Director of Employee Services.

What do you need to succeed?

  • Post Secondary Degree in Human Resources or a related field.
  • CHRP designation or actively working towards the Designation.
  • Minimum 1-2 years of direct work experience in an Administrative capacity.
  • Strong knowledge of general office procedures \Superior telephone manners and strong interpersonal skills.

  • Excellent writing skills, including proper spelling, grammar, and punctuation.
  • Superior time management and organizational skills
  • Excellent multitasking skills, and the ability to prioritize tasks with minimal supervision.

  • Resourcefulness and flexibility.
  • Able to maintain filing systems and basic databases.
  • Meticulous records maintenance skills.
  • Hands-on experience with productivity applications, including word processing, spreadsheets, and presentation tools.
  • Working knowledge and experience using G-suite applications is highly desirable.
