The Manager, Healthy Workplace is responsible for ensuring the proactive, effective and efficient delivery of human resources services to the organization. They will maintain and enhance the agency’s people and culture by applying best-in-class HR principles in wellness, legal compliance, policy development, employee complaints investigations, employee engagement and employee learning and development. The Manager, Healthy Workplace partners with the Lumenus management team and staff to support the agency’s strategic priorities and an employee-oriented, high performance culture.

 

KEY RESPONSIBILITIES:

 

HR leadership, planning and support

  • Works collaboratively with People and Culture Management team to develop and maintain the HR Plan for the agency 
  • Contributes to and advocates for continuous improvement of all HR programs and systems to promote organizational effectiveness 
  • Ensures compliance with employment legislation, supports the goals of the agency and reinforces a healthy work culture 
  • Creates HR policies (and Organizational policies) for Lumenus in accordance with legislation and agency culture
  • Represents HR on internal agency committees, at meetings and on project teams providing input, identifying risks and ensuring legislative compliance e.g. employment standards, human rights
  • Works within and champions the anti-oppression framework in consultation with the Director, Diversity, Equity and Inclusion  
  • Consults with legal counsel and other external experts/advisors as required to manage complex HR matters 
  • Partners with program/service managers to ensure effective delivery of programs
  • Partners with program/service managers to assess training and development needs and opportunities that will develop employees 
  • Manages assigned committees and special projects 
  • Participates as a member of the management team for the agency

Employee Relations, employee complaints, investigations, etc.

  • Conducts investigations and handles accommodation planning, return-to-work and employee complaints 
  • Maintains productive employee relations with strict confidentiality and provides a cooperative problem solving 
  • Ensures an environment that is free from all forms of discrimination and harassment 
  • Collaborates with Director, Diversity, Equity and Inclusion to ensure all HR programs and activities support diversity and inclusion goals 

Coaching and development of HR Team

  • Oversees and manages the work of direct reports ensuring efficient and effective delivery of services 
  • Provides leadership, coaching, supervision, performance management and guidance to direct reports 
  • Promote a positive, fair and learning development, identifying areas for growth and development 
  • Align annual performance goals with agency and department strategic goals 

Learning and Development and Employee Engagement

  • Oversees ongoing use of technology and training platforms (ADP Workforce Now, LinkedIn Learning, HR Downloads) to accurately maintain learning and development and wellness programs. 
  • Leads the development of employee education and training such as the new Manager program, experienced manager, and general leadership training
  • Leads the annual employee engagement survey process and the development of the corresponding engagement plans for the organization.  
  • Monitors engagement though quarterly pulse survey’s, focus groups, etc.
  • Ensures appropriate tracking and analysis of People data reports to support organizational learning and to influence HR strategy 
  • Ensures appropriate privacy and protection of all files/records

Health and safety management initiatives by Lumenus

  • Participates as members of CERT (COVID Emergency Response Team), makes recommendations as part of Program and Compliance sub-committee related to pandemic-driven initiatives, 
  • Responds to management and staff queries to Pandemic Questions, refers questions to other professionals (Clinical Nurse, for example) and reports on same to CERT
  • Tracks COVID data relating to clients and staff continuously and supplies this info to CEO for Board reporting and to CERT
  • Attends legal webinars re COVID-affected legislation and interpretation and distributes learnings and evaluates options with HR Management Team
  • The accountable lead for the IPAC (Infection Prevention and Control) activities.
  • Provides leadership and direction to Occupational Health and Safety programs in legacy agencies in accordance with the Occupational Health & Safety Act 
  • Works with HR Management Team to ensure all Health & Safety policies are compliant with the act, meet accreditation standards and are communicated to staff and managers 
  • Manages WSIB claims process handled by HR Generalists and advises when needed
  • Adheres to the organizational health and safety policies and practices along with the Ontario Occupational Health and Safety Act. This includes but is not limited to ensuring safe workplace practices, protecting the health and safe2ty of self and others and maintaining cleanliness in the workplace.

Executes HR projects

  • Leads HR amalgamation projects to ensure project goals are aligned with objectives and that project outcomes are met.  
  • Provides input and expertise on a variety of projects and agency initiatives and in the creation of tools and policies.  
  • Works with the Chief People Culture and Organizational Excellence officer and the Director of People and Culture to prioritize operational objectives 
  • Prepares a project statement clearly articulating objectives, scope and outcomes for approval by sponsor 
  • Works collaboratively with sponsor and stakeholders to develop project plan 
  • Identifies and gathers supporting documentation and completes research including working with stakeholders and other internal and external resources to gather knowledge, collect input, identify gaps and risks and collaborate on solutions
  • Collaborates with stakeholders to create a communication plan and ensures the plan meets internal communication protocols and standards
  • Creates and/or reviews required documentation to ensure legal compliance and that it reflects agency values.  
  • Identifies risks associated with the project and communicates to appropriate parties for mitigating action
  • Provides regular updates to sponsor
  • Ensures approval process identified and adhered to within timelines
  • Works with Director, People and Culture to document progress reports for the HR Committee and/or Board

QUALIFICATIONS & EXPERIENCES:

 

  • Diploma or degree in Human Resources or 5 years relevant work experience or equivalent combination of education and experience sufficient to perform the job duties. 
  • Certified Human Resources Leader (CHRL) designation or in process. 
  • Previous experience using a Human Resources Information System 
  • Knowledge of HR practices, policies and standards 
  • Detailed understanding of HR legislation (OHSA, ESA, AODA, OHRC etc.) 
  • An anti-racism/anti-oppression philosophy of service provision. 
  • Advanced user of Microsoft Office tools including Excel, Word and PowerPoint, HRIS
  • Social media awareness and proficiency
  • Excellent client service skills and problem-solving skills. 
  • Above-average communication skills including spoken and written English. 
  • Ability to maintain confidentiality and handle highly confidential issues and documentation. 
  • Attention to detail and ability to produce accurate documentation on a timely basis. 
  • Fluent writing skills and accuracy in spelling and grammar. 
  • Time management skills and ability to work well under pressure and prioritize competing 
  • demands. 
  • Ability to recognize situations or judgement calls that should be brought to management for resolution and decision-making.
