Job Description

We are seeking a full-time Workplace Specialist that will support the implementation of a hybrid work environment by coordinating all the relevant workstreams that will feed into the development of WCH’s Flexible Working Strategy across all departments. This role will be responsible for overseeing the daily coordination of project execution and implementation activities.

  • Develops, manages, recommends and executes on detailed project schematics for the “future of work” Flexible Working Strategy
  • Supports the employee experience during the onboard/offboarding process including logistical support related to workplace, including internal and external supports with IT, workspace allocation and tech solutions to leverage touch down and meeting spaces
  • Assists Facilities with planning and executing office moves and expansions to support the Flexible Working Strategy
  • Monitors, tracks and evaluates the progress and adherence to project milestones, key performance indicators, timelines and resource allocation.
  • Collaborates with stakeholders to appropriately collect and consider all information related to workplace issues relating to the Flexible Working Strategy
  • Creates, processes, and edits Flexible Working Strategy including responsible for training and coaching that helps support an employee culture that values and embraces a hybrid team environment
  • Creates toolkits, FAQ’s, documents that help navigate employee questions and concerns and oversee a process for assessing appropriate circumstance and conditions for hybrid work strategies.
  • Responsible for all employee experience communications, liaising between departments, and ensuring that processes for communication channels are established

Qualifications

  • Undergraduate degree in Business, Project Management, Facilities Management, Human Resources, Organizational Development or related field required
  • Project Management Professional, Certified Human Resource Lead, or PROSCI designation asset
  • Three (3) to five (5) years of work experience in project coordination or employee relations experience in a similar role.
  • Experience preparing, interpreting and scheduling implementation plans with project management tools and concepts.
  • Previous experience in health services or academic environment preferred
  • Strong stakeholder engagement skills and experience with multi-stakeholder communications and ability to build and maintain relationships
  • Demonstrated expertise in using metrics as well as having an analytical approach to inform, influence and communicate.
  • Excellent multi-tasking, time management and organizational development skills.
  • Strong critical thinking abilities.
  • Familiar with policy and procedure development, asset
  • Team player with high degree of flexibility; can shift gears quickly
  • Communicates professionally and effectively with all levels of management and staff.
  • Ability to effectively prioritize and execute tasks
  • Excellent written and oral communication skills to create correspondence and reports, and prepare presentations and educational materials
  • Proven Research and analytical skills
  • Ability to understand Workplace and organizational behaviours
  • An understanding of industry best practice
  • Demonstrated record of good performance and acceptable attendance will be considered as part of the selection criteria
  • Professional behaviour and communication that meets the standards of the professional regulatory college or association, as applicable, and the standards of Women’s College Hospital
  • This position plays a critical role in acting as an advocate for safety and will demonstrate principles, practices and processes that will optimize a safe environment for all
