HUMAN RESOURCES GENERALIST

POSITION OVERVIEW

The Human Resources Generalist is a hands-on representative of the Human Resources department whose job is to help facilitate all basic Human Resources functions including Payroll, Recruitment, Health and Safety, Wellness and Data Management.

This position is responsible to provide HR support and assistance to the Human Resources, Payroll and Health and Safety Departments, and build effective working relationships with management and employees.

The position responsibilities include payroll processing support, benefit administration, recruitment and retention, participation in employee/labour relations, health and safety support, Wellness Program support and administrative duties; as well as act as the Administrator for the HRIS system.

General activities and functions include, but are not limited to:

Recruitment, Selection and Orientation

  • Coordinate the recruitment and selection process.
  • Draft and place Job posting advertisements
  • Screen and recommend qualified candidates for interviews with managers.
  • Schedule interviews and/or facilitate testing.  Participate in the interview and selection process. Provide input and recommendation for hiring the qualified candidates.
  • Complete background checks, including employment references, police record check and personal credit check, and any other relevant checks.
  • Prepare offers of employment letter and Welcome Packages for successful candidates.
  • Prepare and arrange distribution of internal job postings and receive applications.
  • Coordinate the new hire process by preparing the Orientation schedule, technology requirements, systems and logistical set up, pass cards etc.
  • Conduct New Hire Orientation, including arrange rooms, confirm times etc.
  • Provide new employees with the orientation and collect new hires forms.

Human Resources Services

  • Draft and prepare letters regarding to new hires, staff changes, transfer, layoff, job changes, etc.
  • Prepare Letter of Employment and response to verification of employment status inquiries.
  • Receive request and prepare Union Book off approval letter.
  • Actively participate and organize various social and wellness activities, such as long service awards administration, company events, lunch and learn sessions

Payroll and Benefit Support

  • Support the functions of running payroll, verification of timesheet and other data
  • Set up New Hires on HR/Payroll system.
  • Update various changes to the HR system (address, bank account changes).
  • Payroll/Benefits data entries as required, including payroll adjustments, wages year- end update, ROE, T4 Adjustments, etc.
  • Verify payroll data entries from Business Units.
  • Sort, insert and distribute pay statement envelops, letters, statements, etc.
  • Prepare Canada Life and ManuLife monthly payments.
  • Assist with Lieu Time/Stat Time reconciliation quarterly.
  • Support benefits administration including enrollment, changes, preparing packages, responding to general inquiries

Records Tracking and Other Administration

  • Track and report vacation, sick time and lieu time records.
  • Scan and file offer, termination and other letters.
  • Prepare WSIB, EAP cheque requisition.
  • Check and administer boot allowance, trade licenses, courses, tool allowance, etc.
  • File records to personnel file as requested.
  • Organize, update and maintain accurate personnel files, both electronically and paper files
  • Produce various HR monthly, quarterly and annual reports, such as turnover, training history and other records
  • Photocopying, fax and scanning documents, e-filing and maintaining well organized files
  • General administrative functions
  • Provide back up support to cover absences of the HR department

Wellness Program Support

  • Liaise with wellness consulting firm to create and review documentation
  • Coordinate lunch and learn and other events, tracking participation
  • Introduce, welcome and host events, coordinating catering, set up/take down and clean up
  • Ensure up to date communication is displayed, changing out-dated information
  • Other duties as assigned.

QUALIFICATIONS:

  • Post-Secondary Education in Human Resources Management, CHRP in progress
  • Minimum three to four (3-4) years direct experience with general HR Functions, including recruitment and payroll processing. 
  • Knowledge and experience with the CRA and Canada Labour Code is required
  • Knowledge and experience with Health and Safety and Labour Relations is a very strong asset
  • Experience with implementing changes to negotiated collective agreements.
  • Previous experience working with Microsoft Great Plains Dynamics is an asset.
  • Advanced proficiency with Microsoft Office including Excel and Word, experience with mail merges, creating Excel formulas
  • Experience running reports from an HRIS system and maintaining e-files is required
  • Strong interpersonal skills, able to provide excellent customer service, able to interact with all levels in a professional, positive manner, able to building relationships and be team player
  • Excellent communication skills, both verbal and written work.
  • High level of planning and organizational skill, able to prioritize and meet specific time sensitive deadlines.
  • Able to handle sensitive and confidential information in an ethical and professional manner.
  • Very reliable, resourceful self-starter who takes initiative, able to work independently and within a team environment.
  • Able to handle and produce work with a high degree of accuracy and attention to detail.
  • Able to multi-task, manage and meet deadlines and adapt easily to change.
  • Bilingual in French is an asset
  • Criminal record and credit check will be conducted on hire.
  • Flexibility to work extended hours or weekends, as the need arises.
