Summary: 

Reporting to the Director, Human Resources, the Human Resources Associate is responsible for providing guidance, direction and support to colleagues in human resource operational activities, which supports the organization. 

Responsibilities of the position include, but may not be limited to:

1. Manage full cycle recruitment of all employees including:

  • Ensures that the authorization to recruit process is followed and that all recruitment documentation is completed;
  • Supports Hiring Managers with hands on involvement in hiring process;
  • Actively participates in full cycle of recruitment process— designs job postings, advertises job postings in appropriate media, receives and sorts applications in appropriate recruitment folders, arranges phone and in-person interviews, participates in-person interviews, prepares regret and offer letters, arranges relevant technical testing and completes reference checks, analyzes internal salary administration data to ensure competitive and fair offer is provided, facilitates final hiring decision by getting necessary approvals;
  • Partners with recruitment agencies as required;
  • Creates and maintains accurate and comprehensive employee records;
  • Creates and maintains recruitment resources including recruitment database, forms, and interview question templates;
  • Maintains and monitor the resume email account and LinkedIn Recruiter activities;
  • Tracks and reports on recruitment activities for all positions.

2. Manage on-boarding and new hire process including:

  • Initiation and maintenance of on-boarding e-forms and process
  • Conducts new employee orientation—creates new hire packages, campus tour, security and parking registration, human resources orientation: review of policies and procedures, presents benefits plan and pension coverage, completion of new hire documentation;
  • Conducts training for managers;
  • Facilities orientation for new hires;
  • Tracks legislative trainings (AODA, workplace violence, sexual harassment, etc.);

3. Provides advice, support and guidance to employees and management on various HR related matters;

4. Maintains various HR spreadsheets and database systems;

5. Prepares employment related letters for staff (e.g., contract extensions, promotions, role changes, etc.);

6. Works with management to review salary placement of employees to ensure equity and consistency within bands and departments;

7. Participates in employee initiatives, projects and/or committees;

  • Provides administrative support to the Director of Human Resources and the team with various projects and responsibilities as required;
  • Manages documentation to ensure that records are filed and maintained in a proper manner;

8. Participates in the continuous improvement and development of the HR function and recommends improvements to the organizations HR policies and procedures;

9. Performs other duties as assigned within the scope of the position.

Knowledge, skills and abilities required: 

  • Post-secondary certificate or diploma in Human Resources or related field;
  • A minimum of 3 years of related Human Resources experience;
  • Thorough understanding of HR administrative procedures with a solid foundation in benefits, compensation and job performance management administration;
  • Familiar with current Canadian legislation related to employment;
  • Excellent communication skills and a focus on positive, productive internal and external relationships;
  • Demonstrated ability to be discrete and tactful in handling confidential matters;
  • Strong organizational and analytical skills, sound business judgment and a proactive approach to problem solving;
  • Demonstrated skills in database management and record keeping;
  • Excellent ability in Microsoft office applications, particularly Word, Excel and PowerPoint.

Security clearance may be required.
