About the Role
Reporting to the Director, Total Rewards & Payroll in the Office of People & Culture (P&C), the Payroll Administrator is accountable for accurate and timely processing of payroll related transactions within the People and Culture (HRIS) information system Workday. The Payroll Administrator acts as the main point of contact for employee questions and requests related to their pay.
The Payroll Administrator will:
- Ensure appropriate time and payroll documentation has been submitted and authorized by the appropriate manager;
- Create and update employee payroll records in Workday;
- Calculate, proof and verify payroll data and information;
- Resolve pay issues by investigating system business process paths;
- Ensure employee transactions are processed correctly and with the necessary documentation and authorization, providing support to managers as needed to ensure accurate data and electronic records;
- Complete payroll accounting adjustments to ensure that accounting entries are correct;
- Receive and respond to employee questions related to their pay;
- Follow up with employees who are missing required information in the Workday system in order to provide payment;
- Run audits on data within the Workday system to ensure accuracy, making necessary adjustments as needed to correct data when required;
- Support system projects including implementation of new modules, upgrades and process redesigns;
- Maintain payroll and employee files, records, and documentation in an accurate and accessible manner; and
- Maintain P&C files and records in accordance with the records management system that includes file creation, organization and maintenance, development, and implementation of retention schedules, instituting the movement of files for inactive records storage or purging (in accordance with Canada Revenue Agency (CRA) guidelines).
Key Skills & Experience
- An undergraduate degree in a related field (e.g., business, human resources etc.);
- 3+ years of demonstrated experience processing in-house payroll; consideration will be given to an equivalent combination of education and experience;
- Demonstrated knowledge of how to interpret and apply employment policies and collective agreement language;
- Knowledge of applicable legislation (e.g., Employment Standards Act, Labour Relations Act, Income Tax-Act, Canada Revenue Agency guidelines);
- Demonstrated ability to apply theory and best practices related to payroll and administration;
- Solid computer competency including word processing, excel, database, web applications and web maintenance, internet search engines, scheduling software, and Brock Systems (e.g., Workday);
- Excellent customer service and interpersonal skills;
- Good oral and written communication skills;
- Excellent time management skills, with a proven ability to multi-task and prioritize in a fast-paced, changing environment under minimal supervision;
- High level of accuracy and attention to detail.
Preferred or Asset Skills…
- Payroll Compliance Practitioner Certification;
- Understanding of the University policies and procedures;
- Demonstrated experience in a public sector or educational environment;
- Demonstrated experience in a multi-union environment.
Salary and Total Rewards
- Job Grade (J), Salary Scale ($52,920.00 - $90,720.00)*;
- Target Hiring Range: $52,920 - $55,000
- This is a permanent position that includes:

*The salary range indicated is representative of all positions evaluated at this level. Actual salary is determined by assessing related skills, experience, internal equity and market competitiveness, subject to available budget.
